The following instructions resolve the issue of merging the Code 128 barcode from Microsoft Excel into Microsoft Word.

If you are trying to implement Australia Post's Post BPay system into your Direct Mail, you may well be struggling with an array of problems including:

  • missing control characters once the merge has been completed
  • unreadable barcodes due to width and height implications
  • Microsoft Word dropping the first few characters when the merge comes in from Excel and hence an unreadable barcode.

    Install c128Tools Setup.exe
    Install AzaleaBarcodes.xla into the XL Start folder: Commmonly at -> C:Program FilesMicrosoft OfficeOffice10XLStart
    Run a standard pledge or appeal.
    Download the explort.xls file
    XL: Tools->Macros->Security: Set to Low.
    Ref Num and Barcode are available

    Go to last column of sheet
    Insert->Function->User Defined->Azalea Code 128(auto)
    Function Arguments (Input String = Barcode column cell 2)

    Once applied, drag function to base of sheet to include all rows.

    Now, save the Excel worksheet as a "Text (Tab Delimited) .txt" from File -> Save As. Remember where you save this file, as it is the source of the Merge.

    Open your Word document that you want to Merge the text into.

    Go to through the regular merging processes, with the following key differences:
    1. When you choose the .txt file, it will notice the strange characters and assume it is Japanese or similar. Force it to be "Windows (Default)".
    2. When you embed the final column (the one with the crazy characters), you will need to change the font size and font type to make it display a barcode:
    a) Font Size - 40
    b) Font Type - Code128

    That should be it - you can now create Australia Post barcodes. Make sure you include the Reference Number in a regular font (Arial) in a human readable size, centred, underneath the barcode section.
